Setting up a phone menu (auto attendant)

An auto attendant is the menu callers hear, like "Press 1 for sales." You can change its recordings and options any time.

Add a phone menu

  1. In the Office Manager view, click Auto Attendants, then Add Attendant.
  2. Enter a Name, choose an Extension, and choose a Time Frame.
  3. Click Add.

Set up the menu

  • Intro Greetings – an optional opening message, like "Thanks for calling Acme. You've reached us after hours."
  • Menu Prompt – the list of choices, like "Press 1 for sales, 2 for support, or 0 for the operator." You can play, download, record, upload, or use text-to-speech.
  • Dial Pad Menu – click a number and choose where it goes:
    • User – a person's extension
    • Call Queue – a group waiting line
    • Directory – the dial-by-name directory
    • Voicemail – a specific mailbox
    • Voicemail Management – lets staff call in from outside to check voicemail
    • External Number – an outside number, like an on-call cell phone
    • Play Message – a recording, often used for hours and directions
    • Repeat Prompt – plays the choices again
    • Add Tier – a sub-menu with its own greeting and choices
  • Options – dial by extension on or off, what happens if no key or a wrong key is pressed, and how long to wait for a key press.

Click Save when you're done.

Why two recordings? Keeping the intro separate from the menu means you can change the intro for holidays or after hours without re-recording the whole menu.

Record greetings and menu prompts

Click Add Greeting, pick a Time Frame (required), and choose Text-To-Speech, Upload, or Record:

  • Record: enter the number to call in Call me at (your extension or cell), click Call, record after the prompt, then press #.
  • Upload: click Browse and choose an MP3 or WAV file, then click Upload.
  • When you're finished, click Done.

Tip: You can also record a phone menu greeting from a desk phone by dialing *60 plus the menu's code.

Edit or delete a phone menu

  • Edit: click the menu's name, make changes, and click Save.
  • Delete: hover over it, click the delete icon on the far right, then click Yes.
