Answering rules control what happens to a user's calls during each time frame.
Open them
In the Office Manager view, click Users, click the user's name, then click the Answering Rules tab.
How long phones ring
At the top of the tab, use the Ring for list to set how many seconds calls ring before going to voicemail or the user's When unanswered forward.
Add a rule
- Click Add Rule.
- Choose a Time Frame.
- Choose what happens: Do not disturb, Call screening, Call Forwarding (Always, When busy, When unanswered, or If Device Offline, each with a box for the extension, number, or phone), Simultaneous ring, or Just ring user's extension.
- Click Save.
When forwarding to another extension, you can choose User, Handset, Voicemail, Queue, Autoattendant, or Conference. Some choices may not show up, depending on that extension. See "Setting up answering rules (forwarding, Do Not Disturb, and more)" for what each option does.
Change which rule is active
Only one rule is active at a time: the highest one on the list whose time frame matches. It's marked Active. When no rule is in effect, calls simply ring the user's extension.
- Hover over the up/down arrows on the left of the rule you want. The pointer becomes a four-way arrow.
- Drag the rule to the top and let go.
- Click Save. Active appears next to the top rule.
Tip: Keep the most specific rules, like Holidays, at the top. Example: on July 4th both "Holidays" and "Open" match, and whichever is higher wins.
Edit or delete a rule
- Edit: hover over the rule, click the edit icon on the far right, make changes, and click Save. The Enabled box turns the rule on or off.
- Delete: hover over the rule, click the delete icon on the far right, then click Yes. The default rule can't be deleted.
Allow or block callers
Click Allow/Block. Allowed numbers skip call screening and Do Not Disturb (the system setting, not the button on the phone). Blocked numbers hear a fast busy or "disconnected" message. You can also check Block anonymous or unknown, or click Import to add many numbers at once.
